Build the shipment file before booking
- Commercial invoice: legal seller and buyer, description, grade, quantity, currency, value and delivery rule with named place.
- Packing list: package count, net/gross weights, dimensions, heat or lot marks and container/load plan.
- Transport document: bill of lading, sea waybill, air waybill or road document, with consistent parties and ports.
- Country-of-origin evidence and any preference documentation; origin is not necessarily the shipping country.
- Mill certificate or assay, inspection report, insurance evidence and any required product conformity records.
- Licences and permissions where applicable: export controls, end use, hazardous cargo and waste/scrap shipment rules.
Match the delivery rule to the shipment
Agree the Incoterms® 2020 rule and exact named place in the contract. Record separately who books carriage, insures cargo, files exports and imports, and pays duties. The rule does not replace payment terms, title transfer, inspection criteria or dispute provisions. Confirm the selected rule with the freight forwarder; containerised shipments need particular care when choosing port-based terms.
Protect dense, heavy and valuable cargo
Confirm payload and road axle limits, floor loading, lifting points, coil cradles, blocking and bracing. Agree corrosion and moisture protection. Precious metals need a security and insurance arrangement appropriate to their value. Powders, reactive metals and battery-related material need classification from a qualified shipper; do not assume ordinary general-cargo treatment.
Plan each corridor separately
| Market | Preparation | Official source |
|---|---|---|
| United States | Identify the importer of record and broker, validate classification, origin, valuation and current trade remedies, and arrange bond and advance filings where required. The importer retains responsibility for compliance. | CBP importer guidance |
| Pakistan | Confirm PSW registration, the trader/customs-agent authority, bank profile and relevant Single Declaration workflow. Have the authorised dealer and customs representative confirm documentation. | Pakistan Single Window |
| UAE | Confirm the emirate, customs port, mainland/free-zone procedure and importer registration. Invoice, packing list, origin and transport documents depend on declaration type. | Dubai Customs service guide |
| EU-bound goods | The CBAM definitive regime began January 1, 2026. Check whether the specific iron/steel or aluminium goods, importer and shipment fall in scope, including applicable thresholds, authorisation and emissions data. | European Commission CBAM |
Do not reuse a fixed duty rate across metals or countries. Classification, product scope, origin, valuation, trade remedies and entry date can change the amount payable. A broker should validate the final calculation for the actual shipment.
What the order workspace records
An accepted proposal can become a private coordination order. Administrators can record the contract stage, external settlement reference, inspection, carrier, tracking reference, origin, destination, HS code and customs status. Manual records identify reported progress; they are not carrier events, a customs release certificate or proof that funds are protected.
Connecting shipping and customs
Carrier integrations need a commercial account and the right API permissions. For example, Maersk’s tracking API is a candidate for ocean visibility after onboarding. Tracking is separate from booking and insurance. Customs integration needs an authorised broker or national single-window connection for each corridor; there is no worldwide API that grants clearance.
Before enabling a connector, verify a sandbox shipment, map provider references to a private order, authenticate events, deduplicate updates, retain an audit history and test cancellations, holds and corrections. Enable only the countries and services covered by the signed agreement.
