Buying metal starts with the specification

Build a clear material specification before requesting price, availability and delivery.

Updated 1 min read

A useful request tells a supplier what to supply, where it will be used and how you will decide whether it is acceptable. A material name alone leaves too much open.

Write the technical requirement

  • Metal or alloy, full grade designation, product standard and the edition agreed for the order.
  • Form, delivery condition, surface finish and any coating.
  • Thickness, width, length or diameter, with tolerances and units.
  • Required processing, edge condition and any restrictions on substitutions.

Write the commercial requirement

State quantity and weight basis, destination, required delivery window, packaging and whether partial quantities are useful. Include the deadline for a supplier response. Keep a response deadline separate from the required arrival date.

Decide what evidence to request

Ask for the documentation and inspection needed for your application. Identify the batch, heat or coil to which test results must relate. A generic data sheet describes a product family; it does not establish the properties of a particular shipment.

Example request outline

Material and standard: [full designation]. Form and condition: [description]. Dimensions: [values, units and tolerances]. Quantity: [net quantity and unit]. Delivery: [destination and date]. Evidence: [agreed certificate and inspection]. Substitutions: [permitted only with written approval].

Use this outline in the requirements field of a new buy request. Review quotation comparison before selecting an offer.
